Teams (Add, Edit & Delete)

Once you have completed putting in the Sports, Levels, Sites and Bill-tos, you are ready to start inputting Teams. Adding teams has two categories: Scholastic teams and Non-Scholastic teams. Scholastic teams are directly related to a school or university. Non-Scholastic teams would be for recreational teams that are not necessarily attached to a school.

Adding a Non-Scholastic Team

  1. After signing into your Administrator account, click on the Assigning tab, and then click on the Teams sub-tab
  2. Click the green in the headers
  3. Bubble in "No" and the Team Details will appear
  1. Enter the Name of the Team
  2. Fill in the site (list will populate from your current Sites)

Site

When creating a game, the games' site field will default to the home team's default site chosen here.

  1. Fill in the Bill-to (list will populate from your current Bill-tos)

Bill-To

When creating a game, the games' bill-to field will default to the home team's default bill-to chosen here.

  1. Select the Sport/level (picture)

Other options:

Strength

Strength is the competitive strength of a team (1 being the strongest and 9 the weakest), and when creating a game, the system averages both team strengths to determine a Priority value for assigning.

Travel Limit

Sets the maximum distance that a team will allow an official to travel for a game (one-way.)

Assign Officials

Check this box to give team contacts the ability to assign officials for home games.

Adding a Scholastic Team

  1. Click on the Assigning Tab, and then click on the Teams sub-tab
  1. Click the green in the headers

  2. If this is a school team, bubble it in. If not, select “No,” and follow the instructions for Adding a Non-Scholastic Team.

  1. The software will populate a list of schools that are in the database for your state. If needed, you can change the state to populate a new list of schools.

 

**Note: If you do not see your team please Submit a Request with the following information:

School Name:

Street Address:

City:

State:

Postal Code:

 

  1. Select a bill-to. A new bill-to will be automatically created in that schools name unless a different selection is made. When creating a game, the games' bill-to field will default to the home team's default bill-to chosen here.

  2. Select the School and the Sports/Levels of the teams you need, check the boxes for each sport and level needed to create multiple teams at the same time.
  1. Click Setup Team Info

 

Site/Sub-site

When creating a game, the games' site field will default to the home team's default site chosen here.

Strength

Travel Limit

  1. Once the information is all filled out click Save

Editing Non-Scholastic Team

 

  1. From your admin account click on the Assigning tab, and then click on the Teams sub-tab.
  1. Click the edit  to the left of a team to edit it.
  1. Adjust the team details.
  1. Click Save.
  2. If the level(s) of the sport has been marked as a 'High School Team', then you may need to select the corresponding high school from the master list.  If the school is not in the list, then please mark it as "Not Listed".

Editing a Scholastic Team

Similar to editing a Non-Scholastic team, click on the [pencil] icon on the left of the team name. You can edit the default site, default bill-to, strength, and travel limit. However, the Scholastic team Name and Sport/Level cannot be changed or altered.

Deleting Teams

In order to delete a team, it must be removed from any game in your group, including flag deleted games. To view the games that it is connected to, click on the blue number to the right of any team.

After it has been removed from any games, navigate to the Assigning > Teams sub-tab. Once on the Teams page, deleted the team by clicking on the red Rex_X.PNG.

If the team has been removed from every game but still will not delete, please contact our Support Department and request for us to remove any flag deleted games connected to that team, which are on the back end of the system and can only be removed by our System Maintenance team.

Utilities & Reports

Filter 

You can filter the teams to narrow which are in view. This can be especially useful when mass deleting teams. 

Update Games 

Cascade changes that were made to the teams in the filter. This can be helpful when default sites and bill-to's have been updated. 

Mass Delete 

Mass delete all teams in the filter. 

Change Level (only visible to the Primary Admin)

Mass change teams to a different level based on the filter. All teams connected to Football Varsity, for example, could be mass changed to another football level, like Football JV for instance. 

Teams CSV File

Download a CSV file of the teams in the filter.
