ArbiterGame - ArbiterOne Integration

For interscholastic sports assigners, coordination with their schools is a crucial part of their assigning responsibilities, especially when game schedules can frequently change.  To strengthen this coordination, ArbiterSports has integrated the ArbiterGame platform for athletic departments with the ArbiterOne platform for assigners.  Now, whenever a game must be changed, such as rescheduling, changing the venue, or replacing an opponent, assigners and athletic directors can be notified in real-time through their ArbiterSports platfom. 

 

This article will explain how this integration works by explaining:

  1. How affected parties are notified of changes
  2. How to accept or update those changes
  3. Common Questions about Pending Changes

 

Important Definitions

Core Game Data -- We only notify others of changes to core game data.  Core game data includes home team, away team, site, date, time, and game status.  Changing other information on the game will not trigger an email (e.g. subsite).

Game Change Request/Pending Change -- a proposed change on a game, which all parties must accept before a game is considered "under contract."

Parties -- Arbiter users who have access to view and edit scheduled game information.  These include ArbiterGame clients for the home team (athletic directors and secretaries), ArbiterGame clients for the away team (with limited permissions), and ArbiterOne users who have permission to assign officials to the game.

 

How ArbiterGame and ArbiterOne Users Are Notified of Game Changes

When any party associated with a game makes a change in the schedule, ArbiterSports will make a Pending Change notification by changing the color of the contract icon.  For ArbiterOne users, this icon will be located on the assigning page beside the Slots cell on the associated game. 

 

 

For ArbiterGame users, the contract icon is also located on the right side of the game on the schedule page.

  

 

There are 3 different colors for the contract icon, to indicate the current status of a new game, or a pending change:

 

 

 

Accepting or Updating Pending Changes

To view the status of a scheduled game, click on the Contract icon, and a game details box will pop-up beneath the game schedule.  On the right side of the details box there will be a Status section, which will list your status, as well as the status of the other parties connected to the game.  If there are any pending changes for you to approve, there will be both an 'Accept' or 'Decline' button in the status section.  Click 'Accept' to approve the listed changes.

 

If the pending changes need to be altered or updated, go into the Edit Game page, and change the game details as needed.  Once you save the proposed changes, a Pending Change notification will be sent to the other parties, and the contract icon will be reset to the appropriate status.

 

 

Common Questions

 

Why Do Some Games Have Pending Changes and Others Don't?

If no core game data has changed, we don't send a notification or create a pending game change request.  In addition, the rules below apply.

For ArbiterOne clients (all conditions must be met):

  1. At least one team on the game has accepted the game in ArbiterGame
  2. At least one accepted team has an active ArbiterGame account
  3. An item of Core Game Data must be edited, such as the date of game or the opponent.  A non-core data item will not generate a pending game notification.  If a school updates the time that a bus needs to pick up its athletes, Arbiter isn't going to bother notifying the opponent or the officials assigner.

 

For ArbiterGame clients (either condition can be met):

  1. One of the opponents on the game meets the requirements for ArbiterOne clients (listed above).
  2. The ArbiterOne client (assigner) has already assigned officials on the game
  3. The date of the proposed change is less  than the minimum number of days for an ArbiterOne client's automatic change approval.  Each ArbiterOne account can activate an account preference to automatically accept pending game changes from ArbiterGame accounts.  Once again, theese conditions are only required if a Core Game Data has been changed.

 

If There Is A Pending Change, What Information Do I See?

For each affected party, they will see the latest information that they have accepted on their schedule page.  For those who have not yet accepted the pending changes, they will see the original game information until they accept the changes.  The proposed changes will be listed in the game details box when they click on the contact icon.

 

The exception to this rule is when more than one change has been proposed before a previous change has been accepted.  If a party proposes a change that overrides another party's pending change, then every party will only see the most recent proposed changes. 

Note:  Officials who are assigned by ArbiterOne and contacts will always see the same information as the assigner.  Officials who are assigned by ArbiterGame will see the same information as the home team.

Bingham HS accepts pending change.  When the pending change is accepted by all parties, the game information is updated and the pending change is removed.  All parties then see the game info.
