Inside the Assigning tab, there are many utilities that will help the assignors do many things in mass like updating, adding, deleting, publishing, assigning, rotating, and many more functions that will save you time. In this article, we will explain what each utility does and how to use it.
This utility allows the assignor to mass publish a group of assignments marked as pending according to the current filter by simply clicking on the blue link, entering an Accept By date, and clicking on Begin Publish
This utility allows the assignor to mass assign officials to any unfilled assignments based upon the current filter you are on. If the officials are ranked, ready to be assigned, and found with no issues with the assignment that the system will attempt to offer; they will be assigned.
Set Up: The system will ask if previous game counts matter. The official’s game counts are used to help balance the assignments made between officials.
Tournament Assigning: If you are going to be assigning for tournament games, you may tell the system to ignore Position and Official’s assigning variables. You may specify how many consecutive games they may do and the break minutes.
This utility allows the assignor to mass unassign games depending on the filtering options used when viewing the games. You may unassign ALL of the slots regardless of the status or just the Pending Assignments on a game.
This utility allows the assignor to update games according to the filtering options which is shown below under the Filter Information. For any update, you’ll need to select the box next to the option.
Status: The status of the game.
Verified: This allows you to verify/unverify games in mass. This is usually used for when games need to be on paysheets
Self-Assign: This allows you to mass update games to be self-assignable or not self-assignable.
Pay By Bill To: This allows you to update the slots to Paid By Bill To or Not Paid By Bill To.
Add/Remove Slots: This allows you to add All Default Slots to the games, Remove Non-Default slots that are not assigned in which are no longer needed, or completely remove any unassigned slots.
Bill To: This function allows you to add a specific Bill-To to the games. Usually, you only want to use this if your filter is specific to the school that it corresponds to.
Pay Travel: This allows the games to Pay Travel or to remove the travel pay.
Accept By Date: This allows the games Accept By Date to be changed to a later or sooner date.
This utility allows the assignor to delete games that are on your current filter settings. This is most important utility to pay attention to since games and assignments will be deleted according to the filter settings. Please make sure you are in the desired filter before deleting and that paysheets, evaluations, and invoices are deleted. To mass delete games, click on the blue Mass Delete utility. Then, read the page to make sure that everything looks fine. Select a permanent delete date at the bottom of this screen. This will completely wipe out games stored in our server. Click on Begin Delete and confirm it.
This utility helps update the travel distance on a game. If an official recently updated their zip code, you’ll want to update your games with this utility to show the new distance on the assigned slot. When a new travel fee is created, you need to recalc travel in order to have those fees appear on games.
This utility allows you to link the games selected. Linking games is a faster way to assign double headers and tournament games that happen at the same site and date. To link games, click on the boxes under the section of Link for the games that will be linked together. A blue number will replace the boxes to confirm of the link. To remove a link, click on the blue number under the Link column and click Remove Link.
This utility allows you to mass link/un-link games according to your filter options. If you choose to mass link games, you may set the settings specifying the maximum minutes between games and the number of games per link set. If you choose to mass un-link, the system will look for any linked games and remove the link.
This utility allows you to rotate the slots of games in a linked set according to the filter options. The first game will not be changed, only the rest of the games in the linked set. You may rotate the assignments up or down one slot. Click on Begin Auto-Rotate to proceed.
This utility allows you to email the officials assigned to the games according to your filtering options.
This utility allows you to download our template to mass import games into your group. To learn how to fill out the import, please see our Importing Games article which explains in detail how to do so.
